A lot of the information contained on this page is a repeat of the printed material that was covered during your initial sign up meeting with Aorist. But, since we are all human and things get lost or misplaced, or it’s just easier to look it up on line, we’ve included much of the same information here. There is also a Forms link that will get you to the forms you may be seeking (W-4, Time Sheet, Electronic Funds Transfer form, etc).
PAYROLL INFORMATION
· STRAIGHT TIME AND OVERTIME ·
With the exception of vacation and holiday pay, which is discussed below, you will be paid only for the hours you actually work. "Straight time" hours are the first forty (40) hours worked in a payroll week, which is normally measured from Sunday morning through Saturday night. In most instances, "Overtime" hours are those hours worked that exceed forty (40) hours in a payroll week. However, certain State and Federal laws may modify your eligibility for overtime pay. When it is due, overtime hours will be paid at one and one-half times your straight time hourly rate.
· REPORTING HOURS AND PAYDAY ·
The staff at Aorist works very hard to pay our employees quickly, but we need the cooperation of our employees to get it done. Aorist employees are normally paid on Wednesday of each week for the hours they worked in the previous week. For each week you work, you must submit to Aorist, either electronically or manually, a properly completed Aorist time slip that shows the hours you worked. It must be signed by you and our Customer's Representative. In order to be paid on Wednesday your time slip must be received by Aorist's Denver office by 8:00 A.M. that Tuesday .
As a courtesy, we allow our employees to fax us a copy of their manually signed time slip to be included in a payroll run. Please ask the Customer for permission to use their fax machine. Our fax numbers are on the time slips. However, our willingness to use the fax to generate your paycheck is a courtesy and does not relieve you of your responsibility for getting the original time slips to us. If you choose to fax us a copy of your time slip, then we must receive the original time slip prior to the following week's payroll run, or we will have to hold your next check until it is received. If this becomes a persistent problem with an employee, we will withdraw the courtesy and require the receipt of that employee's original time slips before being included in a payroll run. Also, if at the end of an assignment our records indicate that any original time slips are missing from that assignment, the final paycheck will be held until we receive the originals.
· GETTING YOUR PAYCHECKS ·
You can get your paycheck one of these three ways: you can pick it up at our Denver office; we can mail it to you; or you can use Electronic Funds Transfer. Unless you tell us otherwise, we will normally mail the paychecks on Tuesday after 5:00 P.M.
If you want to pick up your paycheck at our office, you must call Aorist by 3:00 p.m. on Tuesday and request a "pick-up hold". Your paycheck may be picked up at Aorist's Denver office anytime from 8:00 a.m. until 5:00 p.m. on the payday. You may ask to be put on a "permanent pick-up list". Your paycheck will be held at Aorist's office every week for pick-up, and mailed only when you call and request it.
If you choose to have your paycheck mailed, you must understand that once your paycheck is in the mail Aorist can no longer guarantee its delivery. If your check is lost, we can't issue a replacement paycheck unless a "stop payment" order has been placed on the missing paycheck. If a paycheck has not been delivered within seven days after the mail date, as a courtesy to our employees, Aorist will pay one bank stop payment fee per six-month calendar period. If more than one paycheck is lost during a six-month period, it will be your responsibility to pay the stop payment fees, which will be deducted from the replacement check.
Electronic Funds Transfer ("direct deposit") of paychecks is available, subject to Rules and Fees. This is a secure and reliable way to receive your pay and we highly recommend you use it. Please see the sign-up forms for information.
· ADVANCES ON PAYCHECKS ·
Aorist employees are allowed three advances against their paychecks per calendar year. The maximum amount that can be advanced is 75% of what the paycheck's net amount would be, based on the number of hours you have already worked that week. If our records indicate that any time slips are missing, we can't issue an advance until the missing time slips are delivered to us, and we can't issue an advance on the final paycheck of an assignment.
BENEFITS
· HOLIDAY PAY ·
Aorist recognizes six (6) holidays. Those holidays are: New Year's Day, Memorial Day, July 4th, Labor Day, Thanksgiving and Christmas. Your eligibility to be paid for these holidays depends on how long your have worked for Aorist, whether you are on your first assignment for Aorist, and whether you work full-time or part-time.
NEW EMPLOYEES: If you are on your first assignment for Aorist, you must work at least 350 hours to be eligible for holiday pay. If your assignment is full-time, you will be paid for eight (8) hours at your straight time rate.
RETURNING EMPLOYEES: If you have worked on an assignment for Aorist prior to this assignment, and you were eligible for holiday pay on that assignment, then you must work at least 175 hours to be eligible for holiday pay on this assignment. The only exception would be if you were working on an assignment for Aorist less than one month prior to starting this assignment, and you were eligible for holiday pay on that assignment. If that is the case, you will be eligible for holiday pay at the beginning of this assignment. If your assignment is full-time, you will be paid for eight (8) hours at your straight time rate.
PART-TIME EMPLOYEES: If your assignment is part-time (averaging less than 30 hours per week for the eight weeks preceding the holiday), you must meet the same requirements described above to be eligible for holiday pay, and you will be paid for four (4) hours at your straight time rate.
· VACATION PAY ·
Aorist pays its employees forty (40) hours of vacation pay at their straight time rate after they have accrued 2000 working hours on their assignment, or on a series of assignments, subject to the following conditions:
Your vacation eligibility hours may accumulate over a series of assignments. We will hold your hours for six months after the end of your assignment; and if you start a new assignment for Aorist within that six-month period, your hours accrual will re-start as it was at the end of this assignment. If you do not start a new assignment for Aorist within the six-month period, you will lose your accrued hours.
In the process of accruing the 2000 hours you may work for different straight time rates, and in such cases the hourly rate for the vacation pay will be at the weighted average of those rates.
If you are on an assignment and believe that you have reached the 2000-hour requirement, call us and we will check your hours for you. When you are eligible, you can have your vacation paycheck on any regular payday after you request it.
· HEALTH INSURANCE ·
Aorist provides its employees access to individual health insurance via an Anthem Blue Cross/Blue Shield "Blue Preferred PPO for Individuals" plan. Coverage is available for both the employee and their dependents. This is a comprehensive PPO health care plan. Monthly rates will vary between individuals.
Aorist also provides its employees, and their dependents, access to major medical coverage for up to six months, at reasonable costs. In both cases, you will need to contact the insurance agent directly for more information and to apply.
· CREDIT UNION·
Aorist employees are eligible to join the Public Service Credit Union (PSCU) in Colorado and Desert Schools Federal Credit Union in Arizona and enjoy the benefits provided by their financial services. Specific information is available to you and additional information on their services can be obtained from the credit unions.
· JURY DUTY ·
We will not attempt to excuse our temporary employees from jury service. We will pay you $50.00 per day for your first three days of jury service; any time beyond the first three days is not compensated by Aorist. You may retain any mileage reimbursement or other compensation from Court. Jury duty payment will be on the payroll following our receipt of your validated Juror Service Certificate.
· SAFETY ·
On-the-job safety for our employees is very important to Aorist, and we will not knowingly assign an employee to work in an environment that we consider unsafe. If you were assigned to work in an office, you must inform us immediately if you are requested to work in any environment other than an office.
In the interest of your personal safety on the job, we place some restrictions on what you may do on the job. You are not permitted to:
Personally lift more than 50 pounds; if you choose to lift less than 50 pounds, be certain to utilize proper lifting techniques;
Work more than 8 feet above the ground, nor more than 4 feet below ground;
Work with hazardous materials;
Operate a forklift, or operate any other machinery unless you have been instructed on its proper use.
If special equipment is required to protect your body, you are expected to request it and call us if it is not provided by our Customer. If you believe you have been assigned to work in an unsafe environment, please call us immediately.
If you are ever injured on the job while working for Aorist, please act according to the "Acknowledgement of Workers' Compensation Designated Providers Program" document that you receive when you become an Aorist employee.
· OFF-SITE ASSIGNMENTS ·
Occasionally a Customer requests, or a project may require, that our employee works someplace other than on the Customer’s premises. An example might be a drafter who has a computer and is able to do drafting work at home. In such cases it is difficult to establish the number of hours the employee has worked and creates the possibility of a disagreement with our Customer over billings for those hours. If our Customer ever requests or requires you to perform your assignment anyplace other than on their premises, you must call us immediately so we can discuss the arrangements with our Customer. You will also be required to sign a form relating to the way your hours will be recorded and paid while work is done away from the Customer's premises.
· TRAVEL AND VEHICLES ·
As an Aorist employee you are not permitted to travel or operate any motor vehicles in the performance of your duties as an Aorist employee, unless you receive Aorist's written permission. If, while assigned by Aorist to a Customer, that Customer requests that you travel or operate a vehicle for their benefit, you agree to contact Aorist for written permission prior to any travel or operating any vehicle. If you do not acquire Aorist's written permission, you agree to defend, indemnify and hold Aorist harmless from any and all claims for damage and/or liability resulting from your actions and/or inactions while traveling or operating a vehicle for the benefit of Aorist's Customer.
· MISCELLANEOUS ·
You are required to contact us at the end of every assignment; failure to contact Aorist could affect your unemployment benefits. You are required to maintain clean personal hygiene, and comply with your assigned Customer's dress code. If you are having difficulty working with other Aorist employees or with the Customer's employees, please call our office and discuss the problem with one of our Principals so we can resolve it as quickly as possible. You have federal and state employment rights which are detailed in posters at Aorist offices.
